Eliciting Stakeholders’ Needs and Considerations on the Use of AI in Deliberations: Methodology and Process

Task 1.3 aims to elicit stakeholders’ needs and considerations regarding the use of AI in deliberations.

For this reason, we employ standard elicitation methods, including consultations and interviews with pilot employees, questionnaire surveys for citizens in each pilot, and interviews and consultations with best practice case owners.

As a first step, we created a questionnaire for pilot stakeholders and two distinct semi-structured interviews for pilot employees and best practice case owners. After the first edition, we refined them based on comments from all partners during two rounds of feedback. We then translated the questionnaire and the interview for pilot employees into each pilot’s language and tested them with the stakeholders to produce the final versions.

Formulating the material requires careful planning to ensure clarity and relevance. It is also important to balance everything so that the entire process can be completed in a reasonable amount of time, especially since they are referred to diverse cultural contexts in different languages. Furthermore, collaboration across cultural and professional boundaries requires flexibility and good communication. Finally, careful and on-time planning is crucial to achieving all objectives within the required timeframe.
